Performance Billing Conditions

Introduction
These terms outline how Dentology charges clients under its performance-based billing model, where fees are tied to patient appointments generated through our marketing services.

By engaging Dentology under this model, you agree to the terms outlined below.

Appointment Attribution
Booking fees apply only to appointments generated as a direct result of Dentology’s advertising efforts or facilitated through Dentology’s patient acquisition systems.

An appointment will be attributed to Dentology and billed if it is:

  • Booked directly by the Dentology team, through lead outreach or follow-up.
  • Booked via Dentology’s booking portal where the source is clearly traceable to a Dentology campaign (e.g. via Instagram bio links or direct ad clicks).
    • Appointments booked through Dentology’s portal placed on the client’s website are not attributed to Dentology unless the lead can be directly traced to a Dentology campaign.
  • Booked independently by the lead (e.g., through the practice website or by phone) after first opting in via a Dentology campaign, such as submitting a form or clicking an ad.

Counting of Appointments
For billing purposes, only the initial appointment booked from a new lead will be counted. If a patient cancels and rebooks, it will still be considered a single appointment and will not incur multiple charges.

Billing is based on appointments booked, not attended. This allows us to keep attribution and reporting seamless without relying on manual inputs from practice teams. We’ve designed our systems to drive high-quality bookings from motivated leads, and our goal is always to maximise attendance — but billing is tied to successfully scheduled appointments.

Exclusivity of Attribution
To ensure accurate attribution and maximise performance, clients agree to:

  • Use Dentology’s booking systems and lead tracking tools.
  • Place our booking portal link in visible, agreed-upon locations (e.g., Instagram bio, website).
  • Ensure internal teams (e.g., reception) are aware of our lead capture and attribution process.

This setup ensures that leads generated can be accurately tracked to their respective acquisition channels.

Attribution Disputes
If the source of an appointment is disputed, Dentology will rely on available tracking data (e.g. UTM tags, form submissions, call logs, ad platform reporting).

Unless clear evidence suggests otherwise, Dentology’s attribution data will serve as the default source of truth.

Billing Cycles & Payment Terms
Booking fees for appointments set during the preceding month will be invoiced at the beginning of each calendar month.

  • Invoices will be automatically charged to the payment method on file 7 days after issue.
  • Any billing disputes must be raised in writing within 5 days of receiving the invoice. Disputes raised outside this window may not be reviewed.
  • A full breakdown of all billable bookings is always visible within the Dentology App.

Updates to Terms
Dentology may update these terms periodically to reflect changes in services, platforms, or industry practices. Clients will be notified of any material changes. Continued use of our services after updates constitutes acceptance of the revised terms.
